Manchester University NHSFT Move To A Single EPR Solution – The Largest UK Implementation To Date.

The Business Challenges

The goal of Manchester University NHS Foundation Trust’s (MFT) Hive program was to establish a unified electronic patient record for the entire population of Greater Manchester by replacing various departmental/specialist systems with a single patient solution.

The addition of a previously out-of-scope hospital midway through the programme required the Data Migration workstream to be restarted to incorporate additional source systems. MFT had reservations about the possibility of creating a single patient record without any duplication or loss of data, and they sought a reliable partner who could offer both personnel and products to ensure the successful creation of a single patient record for uploading into Epic.

Addressing their Challenges

Egress were engaged to provide a quality review of the legacy data ahead of the EPR procurement phase, which resulted in a strategy and several clear recommendations which MFT acted upon. Once the Trust selected EPIC as their EPR provider Egress were contracted to lead the Data Migration workstream, bringing together data from 10 hospital sites across Manchester comprising; of 4 PAS solutions and circa 60 clinical specialty applications.

Egress provided the capability and capacity to successfully manage the Data Migration workstream to extract, merge and transform data ready for loading into the target EPIC solution. Given the complex and disparate nature of the systems and organisations within this programme there were complex challenges around the merging of data sets as well as issues with source data quality owing to the age of some of the source applications. These were overcome using our Egress Advance data migration toolkit and methodology whereby we worked closely with the Supplier (EPIC) and key Trust users to identify appropriate solutions.

Customer Benefits

The programme went live on schedule, even with significant scope changes which involved the addition of an extra hospital site midway through the programme.

The load quality exceeded expectations and there were no post cut over issues. Our collaborative approach ensured delivery of a transparent and business led service which helped de-risk this critical workstream.

The outcome

Egress migrated over 4 million records from over 60 systems including:

559,182

outpatient waiting list entries

1,072,781

pathways

1,032,882

referrals

559,179

surgical & day case waiting list entries

137,880

future appointments

It is never too early to start your data migration work as Data Migration is always on the critical path of any EPR programme. Egress dovetailed with the Trust and Epic teams to ensure the programme went live successfully.
